Exhibitor Policies and Information

PURPOSE
National Youth Ministries of the Assemblies of God (nym) aims to acquaint our constituency with business and ministry leads that will benefit and enhance their ministries. nym reserves the right to decline any exhibitor as it deems necessary.

STANDARDS
NYM is a church organization. Smoking, profanity, alcoholic beverages, and immodest apparel are contrary to the church standard; these are prohibited. nym reserves the right to restrict exhibits that may be considered objectionable.

BOOTH SPECIFICATIONS
Price stated is per pipe and draped 10’ x 10’ booth space. All other furniture, electrical service, and other services are additional costs to the exhibitor. (See Decorator packet.)

APPLICATION/CONTRACT
Exhibit Application/Contracts must be approved by nym.
Use only the official Exhibit Space Application/Contract for your exhibit business and make certain all information is correct and complete.
It is understood that this application, which will become a contract upon acceptance by nym, is based upon the floor plan of exhibits, rates, terms and conditions, which constitute a part of, or are included in the Application/Contract.

LIABILITIES
NYM shall not be held responsible for the safety of exhibits against robbery, fire, or accident (s); nor accident to the exhibitor or their employees. Security will be provided during non-exhibit hours.

EXHIBITOR MUSIC AUTHORIZATION
Each exhibitor using live or recorded (audio and/or video) music is required to be able to provide nym proof of legal authorization (e.g., you are the copyright owner, you have written permission from the copyright owner, or you have a copyright license covering the music). Failure to provide this documentation nullifies the Application/Contract and a person/company cannot exhibit at this convention. The exhibitor must be able to provide this documentation on site.

SALES TAX
Each exhibitor must be prepared to verify taxable sales to the host city at the end of the event.

SPACE ASSIGNMENTS
Exhibit spaces will be assigned on a first-come, first-serve basis, according to preferences that have been indicated on the Application/Contract. If requested spaces are already taken, the Exhibits Coordinator will assign space to exhibitors. The Exhibits Coordinator reserves the right to shift space at any time if it is necessary to do so. No spaces will be reserved without a written application and full payment. Space will not be reserved by telephone.
No exhibitor shall assign, sublet, or apportion the whole or any parts of space assigned, or exhibit therein, or permit any other person/company to exhibit therein any goods other than those manufactured by or for the exhibitor. Exhibit space shared by two or more parties must be indicated on the Exhibit Space Application/Contract.
Except for official convention materials, no literature may be placed in the convention hall, or on cars, and no literature may be distributed in the lobby or elsewhere. Except for official convention posters and signs, no posters, placards, signs, banners, or similar items, may be posted or displayed except in exhibit booths.

EXCLUSIONS
Persons/companies not assigned space in the Exhibit Hall will be prohibited from exhibiting, distributing materials, or soliciting business in the Exhibit Hall.

PAYMENTS
Full booth fee payment is required with the Application/Contract. No refund will be made for cancellations after 14 days prior to the event. The date upon which the notice of cancellation is received in the Exhibits Coordinator’s office shall apply as the official date of cancellation. Checks are to be made payable to national youth ministries. DO NOT COMBINE PAYMENTS WITH ANY OTHER REGISTRATION AND/OR FUNCTION FEES; exhibit fees must be paid with a separate check. Application/Contracts will be accepted by mail, fax or e-mail, but ONLY with full payment by credit card.

CANCELLATIONS
Exhibit space cancellations or changes must be sent in writing 14 days prior to the event. nym reserves the right to rent any cancelled booth space, cancelled 14 days or less, to another exhibitor without obligation to return any part of the original exhibitor’s paid fee.
The post-mark date of the notice of cancellation shall apply as the official date of cancellation. Notify the Exhibits Coordinator no later than 14 days prior to the event, for a full refund.
Payments for booth space will be refunded if the convention is cancelled by an event that makes it impossible or impractical to hold the convention.

BOOTH SPECIFICATIONS AND POLICIES
1. All furniture may be ordered through the decorator.
2. All tables must either be finished or draped. (See Decorator packet.)
3. Exhibitors must have a company identification sign: either the one provided by the decorator (as stated above) or their own.
4. No banners, signs, or structures may be suspended from the ceiling.
5. Booth backgrounds and/or product displays must have “finished” side portions of the exhibit so they will not be unsightly or objectionable to adjacent exhibitors. The Exhibits Coordinator reserves the right to have such finishing done at the exhibitor’s expense, billing the exhibitor for charges incurred.
6. Exhibitors are responsible for maintaining a neat and clean booth. Shipping cartons/boxes are to be stored with the Convention Decorator or placed beneath a draped table(s) fully out of sight. Materials placed behind a booth backdrop must not be visible from a side aisle or by an adjacent exhibitor; masking drapes will be required and the charges will be billed to the exhibitor. You may be required by the Fire Marshal to store your shipping containers and boxes of materials with the decorator, as per city codes.
7. The making and distributing of popcorn and helium balloons are not permitted.
8. Pressure-sensitive stickers or decals and similar promotional items may not be distributed in the building (e.g., bumper stickers, promotional “fun” stickers, etc.)
9. The playing of loud music, videos, or any sort of distractions to other exhibitors will not be permitted in booths. See “Exhibitor Music Authorization” elsewhere in this information.
10. For insurance and safety reasons, children under the age of 18 are permitted in the exhibit hall only during public exhibit hall hours. They are not permitted in the exhibit hall during the designated times for booth set up and tear down. Exhibitors are to refrain from engaging children under age 18 in booths as department/ministry representatives.
11. The General Council of the Assemblies of God name, emblem, and other national program names and emblems, cannot be used in any form to imply that an exhibit is a part of, or endorsed by NYM.
12. Exhibitors are not allowed to solicit in any other location except their purchased booth space.

CERTIFICATE OF INSURANCE POLICY
All Exhibitors that are not a department of the General Council of the Assemblies of God or a consolidated affiliate covered under the General Council’s insurance must pro¬vide the Exhibit Coordinator’s office with a Certificate of Insurance naming the General Council of the Assemblies of God as the additional insured. This certificate must show a general liability cover¬age of a minimum of $1,000,000. The certificate of insurance can be submitted one time for the entire year. Please include this certificate of insurance with your exhibitor application. Exhibitors’ insurance can be purchased through the General Council of the Assemblies of God if you do not carry the required limit. The cost for the insurance is $170.00. To purchase the insurance, contact the Exhibits Coordinator’s Office for an application and complete the sections marked with an asterisk. Please fax the application and send your payment to K & K insurance (see K & K Insurance application). The certificate of insurance or application with payment must be received with your exhibitor application. Failure to provide the required proof of insur¬ance will result in the exhibitor not being able to exhibit at NYM events.

ELIGIBILITY
The General Council of the Assemblies of God reserves the right to refuse exhibition space to any applicant for any reason. In addition, the General Council reserves the right to refuse exhibit space to any exhibitor if, after the acceptance of the Application/Contract, information comes to the attention of the General Council, which in the reasonable judgment of the General Council, demonstrates that the proposed exhibit would be inconsistent with the standards espoused by the General Council.
The exhibitor must offer products/services not in conflict with the same or similar to those items offered by nym.
The exhibitor must offer products/services that will directly benefit and enhance the ministries of our churches and ministers. NYM reserves the right to refuse certain products to be sold on sight.
The exhibitor must have a proven business record with his or her product/service. The exhibit spaces are not to provide a platform to survey or test ideas; rather they are to provide products/services that are credible and have proven themselves in their business.
The exhibits are not for the purpose of providing prominence to products/services that are issue-oriented and would generate undue controversy.
